2. What this statement covers
This statement covers the United Purchasing Services corporate website and business, supplier and partnership inquiries made through it. Our website is intended for businesses and organisations.
The website provides information about our group. Membership, purchasing services and the services of our local brands may be covered by their own terms and privacy information.
3. Information we process
When you contact us, we receive your name, work email address, inquiry type, message and any company or organisation name you choose to provide. We also process subsequent correspondence and information you include in it.
Our hosting and security services process technical request information, such as IP addresses, browser information, request times and technical identifiers, to deliver the website, identify errors and prevent misuse. The form also includes a hidden field used to detect automated submissions.
Your name, email address, inquiry type and message are required to submit the form. Without them, we cannot receive the inquiry through that form. Please provide only information relevant to your request and avoid sensitive personal information.
4. Why we use your information
We use inquiry details to understand and answer your request, direct it to the relevant team, explore business opportunities and keep a record of our correspondence. Our legitimate interests are handling business inquiries and managing business relationships.
Where your request concerns a contract with you personally, we may process information to take the steps you request before entering into that contract. We also process information when needed to meet legal obligations.
We use technical information to operate and secure the website, prevent spam and abuse, investigate errors and protect our legal interests. These are legitimate interests, which we balance against your rights and interests.
5. How inquiries are handled
The contact form sends your inquiry to the United Purchasing Services contact service. It identifies the inquiry as a United Purchasing Services request and passes it to the shared Inkoop Service Nederland intake system for storage, structuring and notification to the team.
Software and AI-assisted tools may help us structure information, summarise it or route it to the right people. These tools support our staff and can make mistakes. Staff remain responsible for handling your inquiry. This inquiry process is not intended to make decisions about people that have legal or similarly significant effects solely through automated processing.
6. Who receives information
Information is accessible to the people supporting United Purchasing Services and the shared Inkoop Service Nederland intake who need it for their work. Amazon Web Services (AWS) provides website hosting and cloud infrastructure. Service providers may also support communication, information processing, relationship management and security.
We may share information with professional advisers or competent authorities where necessary for a lawful purpose. Where providers process personal data on our behalf, we make appropriate processing and protection arrangements where required. We do not sell personal data.
7. International processing
Our primary software platform is hosted on AWS in Europe. Website delivery and some external service providers may involve processing or access outside the European Economic Area.
Where personal data is transferred outside the EEA, we use a valid transfer basis and safeguards where required, such as a European Commission adequacy decision or applicable Standard Contractual Clauses. You can contact us for information about relevant safeguards.
8. How long we keep information
We keep personal data for as long as needed to handle your inquiry, manage the resulting business relationship and meet relevant administrative or legal requirements. Contact information that does not lead to an active relationship is reviewed periodically and deleted or anonymised when it is no longer reasonably relevant.
Technical information is kept for as long as necessary for security, troubleshooting and system administration. A legal obligation, dispute or claim may require longer retention. The period depends on the purpose, the nature of the information and applicable obligations.
9. How we protect information
We take appropriate technical and organisational measures to protect personal data, including access restrictions, authentication, secure infrastructure and encryption where appropriate. Access is limited as far as possible to people and providers who need the information for their work.
No technical system can guarantee complete security. We handle security incidents in accordance with applicable legal obligations.
10. Cookies and browser storage
This website does not install analytics or advertising trackers and its own scripts do not write cookies, local storage or session storage. Our Cookie settings page explains the current website behaviour and ordinary browser storage.
11. Your rights and contact
Depending on the circumstances, you can request access, correction, deletion, restriction or portability of your personal data. You can object to processing based on legitimate interests because of your particular situation. Where processing relies on consent, you can withdraw it for the future.
Contact us using the email address below. We may request additional information where reasonably necessary to verify your identity. We handle requests within the applicable legal deadlines.
You can also complain to the relevant data protection authority. In the Netherlands, this is the Autoriteit Persoonsgegevens.
12. External websites and updates
Links to other websites take you to services with their own privacy information. This includes the website of Inkoop Service Nederland.
We may update this statement when our website, services or processing changes. The current version and date are shown on this page. Where appropriate or legally required, we also inform affected people about material changes.
